Exhibitor Application Overview

Thank you for your interest in exhibiting at BitSummit.
BitSummit is an annual event that has focused on discovering independent games created in Japan and showcasing them to the entire world.
Exhibitor applications are now open for its fifth installment, “A 5th Of BitSummit”.

Overview of BitSummit

BitSummit is one of the largest independent-game-centric events in Japan, held in Kyoto each year.
Last year’s “BitSummit 4th” was a big success, attended by 6,435 visitors and its livestreams were viewed by almost 450,000 viewers worldwide.
BitSummit is an event where game developers show their unique games to the world, and the discussion and chemistry between the developers and visitors help the developers polish their games even further.

Visual Design
This award goes to the game that, for whatever reason, strikes us as being incredibly lovely to look at. The ‘best’ graphics aren’t always the most ‘excellent’ graphics, so this award could really go to the most unexpected game.

- Notification of Acceptance
We will notify you by e-mail of your application results by mid March 2017.
Should you agree to our conditions, we will ask you to send us a payment as your exhibitor fee.
(Deadline: Mar 24 2017 )

- Request for Brochure and PR Materials
We may ask you to provide materials for inclusion in our on-day brochure and use in signage, etc.

- Exhibitor Manual and Documents
We will be e-mailing you the Exhibitor Manual and other documents by the end of April 2017.

Exhibitor Fee Details

The exhibitor fee for general applicants is JPY 20,000 (free for student exhibitors).
There is no application fee. Only selected exhibitors who agree to exhibit at the event will need to pay the exhibitor fee.

We offer optional booth upgrades as follows:


- Type A Booth (default option for JPY 20,000 exhibitor fee only) : Table x1, black tablecloth x1, chair x2, styrene board (size B1) x1, power outlet x2 (800W total)

- Type B Booth (JPY 20,000 + 30,000 = 50,000) : x2 booth space and equipment as Type A

- Type C Booth (JPY 20,000 + 60,000 = 80,000) : x3 booth space and equipment as Type A

Each table will be W1800 x D450 x H700.
Please let us know beforehand if there are any items in the provided equipment that you won’t be using.


Notes

- Exhibitor Application
- We may ask you for additional details depending on the content of your submission.
- We will expect the applicant to be on site during the event. We offer no options for exhibiting by delegation.
- We reserve the right to refuse any games that promote or defame a specific religion or philosophy, or that we deem offensive to public order and morals.
- We may alter the terms of the exhibitor application process depending on applicant turnout, and will notify you if so.

- Exhibitor Rules
- The walls and areas beyond your own booth will not be available for displaying your materials.
- We reserve the right to cancel your participation on the day if you excessively harass or disturb the booths and exhibitors near you.
- You may sell novelty items, etc. at your booth, but the BitSummit staff will not be held responsible in any way for any loss, theft or damage you incur to your goods.
- The BitSummit will not provide an internet connection.
